What is RapidRedact Desktop? |

|
RapidRedact Desktop is an easy to use software application for
irreversibly removing sensitive information from ALL
electronic document types. The software completely removes any
information marked for redaction and cleans hidden code, author's changes and
data from 'behind' the document. Since the content is no
longer in the document, snooping or hacking into the file
cannot reveal the information.
RapidRedact Desktop has been designed for organisations that have various document volume requirements.

The User Experience

The RapidRedact Desktop user experience is intuitive and easy to understand right from the moment of installation right up until producing your final redacted documents. At the click of the mouse you are able
to:
- Select the document/s you wish to redact, or begin redacting documents
from applications such as MS Word, Excel, Acrobat, etc
- View and mark areas where redaction is required in
the document
- Redact words, sentences, sections, graphics or entire pages
- Review the redactions and then output the document as a PDF or TIFF file
- Optionally create an Audit copy for internal reference purposes
- Release the document for wider distribution

Automatic Redaction of Information

Further to being able to automatically find and redact words and phrases, RapidRedact Desktop also has the ability to find and automatically redact information such as Social Security Numbers, Credit Card Numbers, email addresses, etc by utilizing regular expressions expressions.
Information such as Social Security Numbers will always be identified as long as the numbers are valid.
Below is a list of what Credit Card Number types will be identified:
Visa: 16 digit (4-4-4-4 format), with a Prefix 4, hyphen or space characters supported
MasterCard: 16 digit (4-4-4-4 format), with a Prefix 51-55, hyphen or space characters supported
Discover: 16 digit (4-4-4-4 format), with a Prefix 6011, hyphen or space characters supported
Switch/Solo: 16 digit (4-4-4-4 format), with a Prefix 67, hyphen or space characters supported
American Express: 15 digit (4-6-5 format), with a Prefix 34, 37, hyphen or space characters supported
Diners Club: 14 digit (4-6-4 format), with a Prefix 36,38 or 300-305, hyphen or space characters supported.
FIGI: 9 digits with no hyphens or spaces.
RapidRedact Desktop comes with a number of pre-defined regular expressions for the most common types of information that organizations require to redact.
If there is specific information requiring redaction which is not covered by the pre-defined regular expressions, the user has the ability to add custom regular expressions.

Redaction Templates are used to automatically redact user-defined areas of documents. Very useful for document forms that always contain information in the same areas.
For example, some documents & forms usually have specifc information at fixed locations, such as order numbers, logo's, names, addresses etc, these information objects can easily be redacted everytime these type of documents are processed by using a redaction template
Redaction templates are easy to create and are stored for future use.

Page Numbering

Page numbering can be applied (as specified
in the RapidRedact Page Number Settings), to each
redaction job.
Page
numbering can be restarted for every document, or
'Bates' numbering (continuous) can be used to continue
numbering from one document to the next. |

Password Protected PDF Files

When password protected PDF documents are selected for
redaction the user will be prompted with a dialog box in which to
enter the password for the selected PDF document. |

Adobe Acrobat & Microsoft Office Integration

RapidRedact Desktop can be easily integrated with Adobe
Acrobat and Microsoft Office products.
The
Application Integration Manager checks the user?s
machine for RapidRedact Desktop compatible programs that are
installed. RapidRedact Desktop then offers the option of
integrating with them via the insertion of the
RapidRedact button into the application toolbar.
This
added functionality makes it easy to send files for
redaction from within the users editing program by the
use of the RapidRedact button available from the
application toolbar.

Working Copy

RapidRedact Desktop creates an interim working copy in .rxf format; a file format
that is unique to the RapidRedact product range. The working copy is used for reviewing documents before finializing the redactions,
redactions can be added, altered and deleted. The file can also be sent to others for
reviewing purposes. The working copy can only be opened using
RapidRedact software. |

Rectangle Redactions

The Rectangular redaction tool allows you to
draw a box around a piece of information and
RapidRedact will place a redaction over that area.
It is also possible to:

Automated Search Term Redaction

The RapidRedact Search Terms window is used to specify
words and other information such as Social Security Numbers that you want RapidRedact to find and redact automatically. The
user is able to add a list of words & terms to the search terms
list, these are then stored for later use. RapidRedact can perform
a huge range of automated redactions, such as Social
Security Numbers (SSN), Credit Card Numbers, Names and bracketed text. |

Scribble Redactions

The Scribble tool allows you to
perform "freehand" redactions.
The Scribble Redaction tool creates
freehand markings over the redacted area - just like scribbling
on a piece of paper with a pencil. |

Text and Picture Stamps

The Stamp tool
allows you to place stamp redactions on your
document. Stamps can be created in the form of text or
graphics, as meets your needs. The stamps can be applied
to the redacted document and repositioned as needed. Font, colour, size, and border can be managed as
well.

Exemption Codes
|
Exemption codes indicate the reasons for redacting areas
of a document. These might be statutory requirements, such as
Freedom of Information Act clauses, or business policy.
RapidRedact Desktop includes a predefined list of exemption codes which includes
relevant clauses from the Freedom of Information Act (50
U.S.C. 552) and UK Freedom of Information Act 2000. You can
define your own set of custom exemption codes.

Reporting

The RapidRedact Reporting feature gives users the ability to create reports when redacted documents are saved.
The reports contain detailed information about what has been redacted, including the type of information, how many instances of each target was found, what exemption codes were used, and on what pages the redactions occurred.
The Reporting feature benefits both organizations and users alike, by allowing them to quickly review details of their redacted documents once they have been created.
